Chasing money feels awkward. You worry about sounding pushy, losing the client, or looking desperate. But the truth is simple: an unpaid invoice is a mistake that needs fixing, and the way to fix it is a calm, clear message. You do not need a fight.

Below are five emails you can copy, from a gentle nudge before the due date to a final notice. Replace the words in square brackets. If you would rather fill in boxes, the late payment email generator writes the message for you in your chosen tone.

Before you chase: check the invoice

Spend two minutes on this first. It saves embarrassment.

  • Did the invoice actually reach the client? Look for a bounce, or ask for a read receipt.
  • Is the amount, currency and due date correct?
  • Are your payment details right and complete? A wrong digit in an account number can hold up money for days.
  • Did the client ask for a purchase order number or a different billing contact?
  • Is the invoice really overdue, or does your own due date fall on a weekend or public holiday?

If anything is wrong, send a corrected invoice with a new number and a short apology. If everything is right, go ahead.

Template 1: a gentle heads-up, 3 days before the due date

This one is optional but it works. It stops problems before they start.

Template 2: day 1 after the due date, friendly

Hi [Client name],

I hope you are well. I do not think I have seen payment for invoice [INV-001] ([amount], due [date]) yet. It is attached again.

If it has already gone out, thank you, and please ignore this message. If something is holding it up, let me know and I will help sort it.

Kind regards,

Template 4: day 14, firm

Hi [Client name],

Invoice [INV-001] for [amount] is now 14 days overdue. I have not had a reply to my earlier messages.

Please pay in full by [new date]. The payment details are on the attached invoice. Until the invoice is paid, I will not be able to start new work.

If you would like to talk about a payment plan, please reply today.

Regards,
[Your name]

Only include the “I will not be able to start new work” line if you mean it and your terms said so.

Template 5: day 30, final notice

Subject: Final notice: invoice [INV-001]

Hi [Client name],

Invoice [INV-001] for [amount] was due on [date] and is now 30 days overdue. Despite my earlier messages, I have not received payment or an explanation.

This is my final request. Please pay the full amount by [date]. If I do not hear from you by then, I will have to consider my other options, and work on your account will stay paused.

I would much prefer to resolve this with you directly. Please reply today.

[Your name]

Keep this email factual. Do not threaten things you will not do, and do not insult the client. A calm tone is easier to defend later.

WhatsApp-length versions

Short messages get read. Attach the invoice as a PDF.

  • Friendly: “Hi [Name], a quick reminder that invoice [INV-001] for [amount] was due on [date]. I have attached it again. Thank you!”
  • Firm: “Hi [Name], invoice [INV-001] for [amount] is now [X] days overdue. Please pay by [date]. The details are on the invoice. Thank you.”
  • Final: “Hi [Name], this is my final reminder about invoice [INV-001] for [amount], overdue by [X] days. Please pay by [date] or reply today so we can agree what happens next.”

After a WhatsApp reminder, send the same message by email so you have a written record.

When to pause work

Pausing work is fair when your invoice terms said it could happen. Say it up front, in your quote or on the invoice: “New work starts once overdue invoices are paid.” If you did not say it, give a clear written notice first, for example in the day 14 email. Do not hold back work that was already paid for.

For big projects, avoid the problem. Ask for a deposit before you start and split the balance into stages. Our guide to writing a freelance proposal and quote shows where payment terms belong.

When to stop and escalate

If a client ignores everything, keep a tidy file: the signed quote, the invoice, proof you delivered the work and every message. Then decide whether the amount is worth more effort. Depending on the amount and where you both live, you might consider a formal letter or legal help. We cannot give legal advice, and options differ by country, so speak to a lawyer or a local small-business advice service.

Make late payment less likely

  • Put a clear due date on every invoice. Our invoice template shows how.
  • Put payment details on the invoice so there is nothing to ask.
  • Invoice on the day you deliver, not a week later.
  • Make it easy to pay in the client’s currency. Our post on how freelancers receive money compares the routes.

Frequently asked questions

How long should I wait before chasing a late invoice?

Send a friendly note the day after the due date. Most late payments are simple delays, such as a missed email or an approval stuck with someone else. Waiting a week or more only makes the next message harder to write.

Is it rude to send a payment reminder?

No. A short, polite reminder with the invoice attached is normal business. It tells the client you keep proper records. The tone is what matters, so start friendly and only get firmer if you hear nothing.

Should I send a payment reminder on WhatsApp?

Many clients in Nigeria answer WhatsApp faster than email. Use a short message, attach the invoice as a PDF, and keep the same friendly tone. For your records, follow up by email too.

When should I stop work for a client who has not paid?

Decide before you start. If your invoice terms say that new work pauses until overdue invoices are paid, it is fair to pause once you have given clear notice. Do not hold finished work hostage without having said so in advance.

What if the client still does not pay?

Keep every invoice, message and proof of delivery. Read your agreement and, if the amount is large, talk to a lawyer in your country. This post is not legal advice, and the right next step depends on where you and your client live.
